Position: Mitigation Coordinator

Position Summary:

The Mitigation Coordinator plays a central role in supporting daily mitigation operations. This individual will manage job documentation, coordinate with internal teams and outside vendors, and follow up with insurance carriers and homeowners to ensure timely project progression and payment collection.

 
Key Responsibilities:

  • Answer incoming calls, accept new job losses, enter new direct call in EMS jobs.
  • Get clear description of EMS jobs scope and schedule services.
  • Accurately input logs, notes, and job documentation into MICA and other systems.
  • Upload and organize job photos, ensuring clear and complete visual documentation.
  • Review and track job progress, daily technician folders, and time entries for accuracy.
  • Coordinate testing (asbestos, mold, lead, etc.) and schedule pack-out and pack-in services with vendors and subcontractors.
  • Communicate directly with insurance carriers and homeowners to follow up on outstanding payments or documentation needs.
  • Collaborate closely with the mitigation manager, project managers, and technicians to ensure all phases of the job are documented and progressing according to plan.
  • Maintain compliance with Paul Davis Restoration protocols, industry standards, and insurance requirements.
  • Assist with crew scheduling and provide administrative support to ensure smooth daily operations.
  • Participate in a rotating on-call schedule to support after-hours emergencies as needed.

Qualifications:

  • 2+ years of experience in restoration, construction, or insurance-related administration (mitigation experience preferred).
  • Familiarity with MICA, DASH/RMS, or similar job management software is a strong plus.
  • Excellent communication skills—written and verbal—with a professional and proactive demeanor.
  • Strong organizational skills and ability to manage multiple tasks simultaneously in a fast paced environment.
  • Detail-oriented with a high degree of accuracy and accountability.
  • Knowledge of insurance claim workflows is a plus.
  • Strong working knowledge in Microsoft Office/365/Calendar/Teams
  • Knowledge of estimating software is a plus.(Xactimate, Symbility)
 
Compensation: $55,000.00 per year
